Quick guide on how to perform your initial data mapping

This is a quick guide on how to implement data discovery and handling violations. When you have completed this guide you will understand how to automatically map your data and to how handle the violations which will be identified.

Import users

The first thing you will need to do is to import users into the platform. The easiest way to do it is by connecting to your Active Directory (AD) and automatically import users from it. The data discovery platform is able to inherit the following information from your AD; employee name, email, titel and department.

This step will also active Single Sign-on (SSO) which is the recommended login method since it will inherit your organisations security policies regarding passwords and the employees can use their existing work account to access the platform.

You will need:

An account with sufficient permissions. For instance for Exchange Online (Microsoft 365) an account with "Azure Global Admin"-permissions would be necessary.

How to do it:

  1. Go to Integrations

  2. Find Azure under User management and click on connect

  3. Select Quick connect

  4. Click on the link "Click here to give admin consent"

  5. Login with an Azure account (Global admin permissions are required)

  6. Accept consent

  7. Close the browser tab and return the data discovery platform

  8. Click on Import users

  9. Select the users you want to important

  10. Click Import users

Set up recurring data mapping

Now you need to set up a recurring data mapping.

How to do it:

  1. Go to Integrations

  2. Find the data source you want to connect to

  3. Select Quick Connect

  4. Click on the link "Click here to give admin consent"

  5. Login with an Azure account (Global admin permissions are required)

  6. Accept consent

  7. Close the browser tab and return the data discovery platform

  8. Click Start scan

  9. Click Recurring

  10. Select when you want the scan to run and if you wish to notify employees after the scan

  11. Click Confirm

Handling of violations

While the first data mapping is undergoing you can start to process the violations which the solution identifies.

How to do it:

  1. Go to Violations

  2. Find the violation you want the handle and click on the magic wand

  3. Click on "Legitimate interest"

  4. Choose a retention date. This is the date when your legitimate interest ceases.

  5. Provide a description. This should be a shot description of the reasoning for keeping the violation.

  6. Click Confirm

That's it! Now you are ready to begin your compliance journey.
